Conference highlights and thanks to the community!

Hey folks,

The Write the Docs team is now emerging from the post-conference recovery period, and we wanted to send out a quick message to thank everyone for attending Write the Docs Vilnius.

Conference recap

Around 50 people attended from over 15 countries, a diverse and enthusiastic crowd. We had some excellent speakers, some new folks giving lightning talks, an active writing day, and a social.

Overall, we were excited to our awesome community come together in a lovely venue. Lots of knowledge was shared, and we had a great time.

Code of Conduct transparency report

As with any Write the Docs event, this conference was covered by our community Code of Conduct. We aim to be as transparent with CoC incidents and enforcement as we can.

To ensure that our CoC was visible and accessible, we took a number of specific steps:

Every participant agreed to the Code of Conduct in advance during registration.
The CoC, or a summary, was included on the conference website, conference booklet, and in posters around the conference venue.
The CoC was repeatedly mentioned in announcements on the stage.
We specifically stressed that the CoC applies to all conference spaces including the social event.
We encouraged all attendees to report any incident, even if they were not sure whether it was a violation.

We had one single CoC event reported, involving a discussion on acceptable ways to address a mixed crowd of people, and an inappropriate example of what isn’t. The incident was resolved on-site.

Our Slack network has really grown more this last year. Our general Slack channel has been extra busy in the days and weeks leading up to the conference, and we hope that y’all continue the conversations throughout the year. Our first Vilnius edition of Write the Docs is very nearly upon us! We’re excited to see you all soon.

Below you’ll find all the practical information that you’ll need to plan for and navigate the event and activities.

Be prepared

Review the schedule. The Schedule page has the latest and most complete information about the presentations. This is where we will also update any changes/cancellations if they occur.
Review the Code of Conduct. We have a wonderful community full of diverse and amazing people. We expect everyone to behave in a respectful manner at all conference events and online channels. Our Code of Conduct boils down to “Be excellent to each other”, but please read full text. Our cellphone numbers and email addresses are on that page if you ever need to contact us.

Plan a project for Writing Day. The Writing Day will be held on Sunday from 10:00-18:00, and you can drop in at any time during the day. Breakfast will be available from 9:00. If you have a project you want to propose to others, you can pitch your topic during the welcome announcement that will be held at 10:30. Check out the Writing Day page for a few suggested projects!
Plan a lightning talk. We’ll have lightning talks on Monday after lunch. These are 5 minute presentations and a lot of fun. They can be about anything you want. This is your chance to share something you are passionate about with the audience. Slides are not required.
Coffee, breakfast, and lunch are provided on both days! Don’t worry about coffee before you come to the conference on Sunday or Monday.
Social event on Sunday evening. Every participant invited to Social Event that will take place at Kas kas (Islandijos g. 4). From 19:00 onwards.

Announcing Full Schedule, Tickets, Events, and Activities

Hello everyone!

Our first-year event in Vilnius is just over a week away, and we hope everyone is as excited as we are. We’re writing today to announce the full presentation schedule and to give you the latest updates to help you make the most out of your conference experience.

Full presentation schedule

The conference website is now updated with the talk schedule for the main stage presentations, so you can start planning your time (and getting excited!) for the conference.

We’ll also be running the Writing Day on Sunday and lightning talks after lunch on Monday.

You’ll be able to sign up for Writing Day projects and lightning talks during the conference.

We still have some tickets available, so head over to the Tickets page and grab one!

Keep in mind that due to printing schedules, if you register after Monday, 27th May we will not be able to print a badge for you.

Events and activities

Write the Docs is more than a conference. At each of our events, we try to have a variety of activities that our attendees can enjoy, whether you want to learn something, meet new people, or share knowledge.

Informal networking. After the talks end on Monday, we’ll set aside space at the conference venue where you can relax and chat with other attendees about the day’s talks, the conference, or any topic that you find interesting!

Announcing Speakers and Talks

Greetings, fellow documentarians! We’re writing today with an update on the fast-approaching Vilnius event, and we’re very excited to announce the speakers and talks for the event.

Thank you so much to everyone who took the time to send us a proposal – we literally wouldn’t have an event without you!

We also have some info about ticket purchasing (now’s the time!), trip planning (Vilnius is beautiful!), and Writing Day (start thinking about projects!).

Full speaker line-up

Our events bring a wide range of voices to the Write the Docs stage. Because the role of “documentarian” looks so different to each of us, we aim for a line-up that spans a good mix of practical, philosophical, and technical topics – with the odd whimsical one thrown in for good measure.

Call for Volunteers and CFP Reminder

Greetings, fellow documentarians! The Vilnius conference is just about two months away, and we can’t wait to see you all soon! Here are the latest updates from the conference team to help you prepare.

Tickets are selling fast! We are not sold out yet, but our European community is showing great enthusiasm, and we expect to have another wave of registrations after we announce the presentations soon, so you might want to beat the rush and get your ticket now.

Call for volunteers

There is plenty to do during the conference, and volunteers are essential to the success of all our events! We are looking for folks who are willing to help out during the conference. If you volunteer for two or more shifts (at an average of three hours each), you will receive a free ticket for the conference.

We are looking for folks to help out in these roles:

Venue set up - Prepping the main conference hall on Saturday, including preparing the registration desk, laying out swag, arranging writing day boards, and other light physical labor
Writing day - Assisting the Writing Day coordinator, including general information inquiries, directing attendees to specific tables, helping writing day project leads with logistical questions, and other duties as assigned
Registration desk/info - Registering people in the main conference hall and answering any questions
Speakers - Finding speakers and making sure that they’re where they need to be when it comes time to speak
Talk timing - Keeping track of the length of the talks and warning speakers when they’re running out of time
A/V and tech support - Assisting presenters at the time of their greatest need while on stage - issues with slides, video, or audio portions of their presentation. Please apply for this role if you have some A/V knowledge; experience troubleshooting different operating systems is a plus!
Floaters - Other duties as assigned ;) Assisting with odds and ends, requests from other volunteers and organizers, as well as answering questions; overall, being generally helpful
Venue take down - What’s more fun than setting things up? Taking them down! Helping with taking down the conference set up and leaving the conference hall better than we found it

If you’re not entirely sure how to do any of these tasks, don’t worry! The organizers will be available for questions and any problems you may encounter.

To register as a volunteer for the conference, please read and fill out the Call for Volunteers form. You will receive additional information by late April regarding shifts, detailed duties, and other updates to the volunteer duties and schedules.

We’re excited to see such great proposals coming in, and we want to remind you to submit your proposals before Midnight CET, 22nd April 2019.

The Call for Proposals page has tips and examples to inspire you. And if you have an idea but aren’t sure what to do with it, feel free to ask for feedback on Slack. Your fellow documentarians will be happy to help!

Since this first-year event has only one day of talks, the number of slots is extremely limited. We hope to see a diverse range of topics from different roles and industries, and we’re excited to welcome you to Vilnius very soon!

Today we are announcing our Call for Proposals and website. Speaking at Write the Docs is a fantastic way to share your ideas with our inspiring community of documentarians. Every year, Write the Docs invites people from all across our community to come up on stage to share their insights and experience. We’re looking for ideas and use-cases from all disciplines and roles, so whether you’re a technical writer, developer, UX designer, community manager, or support professional who cares about content and communication, we want to hear from you!

You can read our full Call for Proposals on the website. The Call for Proposals will be open until Midnight CET on April 22, 2019.

Tickets are on sale now! As with our other conferences, we have tiered pricing to make it fair for everyone. Please buy the ticket that best fits your situation.

As always, we keep ticket prices low so that it is accessible to the widest range of people possible. However, if you can’t afford these prices and still wish to attend, please email us at vilnius@writethedocs.org, and we can see how we can help.

For this first-year event we have a limited capacity of 50 documentarians, and we do expect to reach full capacity.

Announcing Write the Docs Vilnius 2019

Welcome to the official launch of the first Write the Docs Vilnius!

We are excited to announce this new event, led by a group of talented and dedicated documentarians in Vilnius, Lithuania. The 2-day event will be held on 2-3 June, 2019, and will include:

Day 1: Writing Day. Get together with other documentarians to work on your docs and learn some new skills. Don’t have a team to bring to the sprints? Join us anyway–get involved with an open source project and learn from the people who are pioneering documentation sprints.
Day 2: Talks on all things technical documentation. We’ll have a variety of speakers on the stage sharing their experience and knowledge. We might also have lightning talks, if the schedule permits.

Call for proposals and tickets

We plan to open the call for proposals around 13 March, 2019, and keep it open for a month. At the time of the CFP launch, we will also transform the landing page to a full website, with venue information and registration links.

In the meantime, here are the ticket prices so that you can plan ahead:

Corporate ticket: 70€ - Purchase this ticket if a company is paying for your attendance. Companies interested in sponsorship can also receive tickets to the conference with a sponsorship package.
Independent ticket: 40€ - Purchase this ticket if you are paying for yourself, or if you work at a non-profit, a government, or a company with less than 10 employees.
Student/unemployed ticket: 15€ - Purchase this ticket if you are currently enrolled as a student, or don’t currently have a source of income.

Our first-year capacity for this event is only 50 people, so we do expect tickets to sell out quickly. Stay tuned to find out when tickets are available!
