Highlights and thanks from the Prague conference

Hello everyone,

As we wrap up the Prague conference, we wanted to send out a quick email to thank everyone for helping to make our sixth European conference such a success. Whether you joined us in person or watched from afar, we thought you might like to get some of the highlights!

Conference recap

At nearly 300 people, this year’s conference was our biggest European event to date! We had the usual mix of main stage and lightning talks, unconference sessions, writing sprints, and social events.

We were also pleased with the continued success of our most recent experiments, including live-streaming the talks, running real-time captioning for the main stage, and hosting an in-person job fair. The overall feedback on all of these was positive, and we are excited to carry them forward to future events.

Overall, we were so excited to see another conference come together and see our awesome community gather under one roof.

Videos and photos

Videos of all the main talks are now available in a playlist on our YouTube channel. We’re still missing a lightning talk video because it required special processing, but we will post it on Slack and Twitter when it’s ready.

Code of Conduct transparency report

As with any Write the Docs event, this conference was covered by our community Code of Conduct. We aim to be as transparent with CoC incidents and enforcement as we can.

To ensure that our CoC was visible and accessible, we took a number of specific steps:

Every participant agreed to the CoC in advance.
The CoC, or a summary, was included on the conference website, conference booklet, and in posters around the conference venue.
The CoC was repeatedly mentioned in announcements on the stage.
We specifically stressed that the CoC applies to all conference spaces including the social event, and therefore attendees should drink responsibly.
We encouraged all attendees to report any incident, even if they were not sure whether it was a violation.

None of our organizers were approached about any CoC concerns at this event. We know that this is, in part, a reflection of the thoughtful and inclusive community that we’re so lucky to have.

That being said, we’re also very conscious of the fact that just because nothing was reported doesn’t mean nothing happened. If there was any personal conduct or other aspect of the conference experience that did not meet the expectations of behavior set out in the CoC, please email us at conduct@writethedocs.org.

We still have our third Australia conference in November. Tickets are still available and the list of talks is now published on the website.

We also announced the dates for next year’s Portland conference, and you can sign up for that mailing list to get updates when tickets go on sale and the Call for Proposals opens.

Yet another edition of Write the Docs Prague nearly upon us! We’re excited to see you all in just a few days.

Below you’ll find all the practical information you need to navigate the event and activities.

Be prepared

Read the Welcome Wagon Guide. Our Welcome Wagon Guide is packed full of information on how to get the most out of the conference. There will also be a few Welcome Wagon events that will help you learn more about the conference.
Review the schedule. The Schedule Page has the latest and most complete information about the presentations and activities. This is where we will also update any changes or cancellations if they occur.
Review the Code of Conduct. We have a wonderful community full of diverse and amazing people. We expect everyone to behave in a respectful manner at all conference events and online channels. Our Code of Conduct boils down to “Be excellent to each other”, but the full text is also available. Our mobile phone numbers and email addresses are on that page if you ever need to contact us.
Review the venue information. Our Venue Page for information about accessibility and orientation. If you have any specific accessibility questions, please email us at prague@writethedocs.org and we will be happy to do our best to make the event as accessible as possible. Once again we will be live captioning all presentations, and priority accessibility seating will be available near the stage.

Plan a project for Writing Day. The Writing Day will be held on Sunday from 9:00-17:00, and you can drop in at any time during the day. If you have a project you want to propose to others, you can pitch your topic during the welcome announcement that will be held at 10:00. Check out the Writing Day page for a few suggested projects.
Plan a lightning talk. We’ll have lightning talks each day after lunch. These are 5 minute presentations and a lot of fun. They can be about anything you want; this is your chance to share something you are passionate about with the audience. Slides are not required.
Get ready for the Job Fair. On Tuesday morning we’ll have a job fair where you can find your next documentarian-friendly job.
Plan an unconference session. We’ll be running the Unconference all day Monday and on Tuesday afternoon. Want to chat with like-minded folks about a very specific thing? This is the place. We’ll have a sign-up board so you know what’s happening, and supplies to help you brainstorm.
Coffee, breakfast, and lunch are provided on all three days! Don’t worry about coffee before you come to the conference on Sunday, Monday, or Tuesday. Coffee and breakfast are served at 9:00 each day, and the conference programme starts at 10:00.

Find your way around

Getting around Prague. Public transit is generally excellent in Prague, and there are private rides and taxi options too. For more information, see our Visiting Prague page, which has all the details you need to get around.
Where to go? What do do? If you want specific food, drink, and sightseeing recommendation, our Visiting Prague Coordinator Jakub Mikuláš (@gak on Slack) will be available on Slack to advise you on the best places to eat, drink, and be merry in and around town.

Have Fun

Join us for the boat ride. If you’re planning to come for the boat ride on Saturday at 13:45, make sure you register in advance . We are almost at capacity for the boat, so if you’re on the fence, grab your ticket now! Registrations for the boat ride will close on Friday, September 13th.
Pre-register at the welcome reception. The meet-and-greet event will be held on Sunday from 17:00-20:00. You can pick up your badge and enjoy a drink and a snack on us. This is a great chance to meet your fellow documentarians before the conference starts.
Relax at the social event on Monday night. This is a private evening event only for conference attendees. Plan to attend so you can get to know folks in the community. We will be at eRKo Gastro Pub (Restaurant by Retro), Francouzská 4, Prague 2 on Monday evening from 20:00, with free snacks and drinks while our tab last. A full dinner will not be served, but you should have enough time before we start to grab some dinner if you want a sit-down meal.
Participate in the badge flair contest. What started as an unofficial activity is now a conference tradition. The Badge Flair Contest is a fun way to make the most out of your badge flair. We look forward to seeing your creative decorations!
Show off your Write the Docs shirt. If you picked up this year’s shirt at our T-Shirt Pop-Up Shop we’d love to see you sporting your new threads! And don’t worry, the campaign will run until September 30th in case you still want to order one as a souvenir.

Announcing Full Schedule & Tickets Almost Sold Out

Although it hasn’t been that long since our last update, we have some big news to share with you all.

Tickets are almost sold out!

Since our last blog post, we had a surge of registrations, and we are now more than 80% sold out. This means that we only have a few dozen tickets left, and we expect to reach our capacity within the next week or so.

If you’re still considering whether to attend, now is definitely the time to buy your ticket.

As a reminder, we cannot be held responsible for any loss of non-refundable travel expenses, and we cannot risk overselling the venue capacity. Please make sure you have a conference ticket before you book your travel!

After we reach capacity, we will operate a waiting list on the ticket website in case of any cancellations, but historically we haven’t had many cancellations to our events, so we cannot guarantee that anyone can be taken off the waiting list.

Full presentation schedule

The conference website is now updated with the talk schedule for the main stage presentations, so you can start planning your time (and getting excited!) for the conference.

Parallel to the conference talks, we will run the unconference all day on Monday and in the afternoon on Tuesday. On Tuesday morning the unconference room will be converted to the Job Fair, where you can meet companies who care about content and find out about documentarian-friendly jobs all around Europe and the world.

We’ll also have a round of lightning talks after lunch on each conference day. You’ll be able to sign up for unconference sessions and lightning talks during the conference.

Conference shirts are still on sale

Another friendly reminder that our T-Shirt Pop-Up Shop is still open! The campaign will run until September 30th in case anyone wants to order their shirts after the conference, but we recommend to order at least 2-3 weeks before the conference if you want to sport your new threads.

And don’t worry, you’ll still have a Write the Docs Prague 2019 souvenir from the conference even if you decide not to order a shirt.

Tickets Update, Events and Activities, Call for Volunteers Reminder

Greetings documentarians!

The Prague conference is just about two months away, and we are happy to share with you the latest updates.

Tickets are going to sell out soon!

We are now at nearly 75% capacity, and we expect to sell out in the next few weeks, so if you’re still on the fence we recommend that you buy your tickets now.

Please make sure you have a conference ticket before you book your travel! We cannot be held responsible for any loss of non-refundable travel expenses, and we cannot risk overselling the venue capacity.

Events and activities

As always, Write the Docs events are more than just talks. Every year we offer a wide range of activities that give our community members different ways to socialize, collaborate, and connect.

Check out what we have in store for you this year in Prague:

Boat Ride, Saturday September 14th. If you’re in town early, you’re invited to join us for a 2-hour cruise on the Vltava river, with light snacks and drinks included. This activity is priced separately and isn’t included with the conference ticket, so you’re welcome to register your friends and family who might be traveling with you. You can find all the details in our Boat Ride page, or register directly on our ticket website.
Writing Day and Welcome Reception, Sunday September 15th. Before the main conference days, we’ll be hosting a Writing Day and Welcome Reception before we dive into the main sessions. This is an excellent opportunity to register early, meet your fellow documentarians, learn about and work on interesting documentation projects, and make yourself at home!
Lightning Talks. One of our favorite traditions, lightning talks are as entertaining as they are informative. Each block of lightning talks will have 5-6 spots of up to 5 minutes each, both blocks will be after lunch during the main conference days. You can sign up on the mornings of the main conference days and prepare for some post-lunch fun.
Unconference. Parallel to the talks, you’re welcome to join the unconference sessions. These freestyle sessions are a great opportunity to brainstorm with your fellow documentarians about anything from the latest tooling, the best way to write an email, or how to handle stress and burnout. You can signup for the unconference sessions during the Writing Day and throughout the conference.
Social Event. This year our social event will be held at RKO (Restaurant by Retro), Francouzská 4, Prague 2, a bar with a great vibe owned by Retro Music Hall. The bar is about 15-20 minutes walk from the main conference venue, and is extremely well-connected by metro and tram service (Namesti Miru stop). The event will start at 20:00, and light snacks and drinks will be provided while our tab lasts. If you want a sit-down dinner we recommend to grab something on the way before we kick off the evening. Entrance is only for conference attendees.
Job Fair. Following the success last year, we’re happy to announce that during Tuesday morning, part of the unconference space will be converted to the job fair. The goal is to give job-seeking documentarians an opportunity to connect with potential employers. Documentarians looking for jobs will be able to visit employers at their table to learn about the company culture, ask about specific job openings and talk to current employees. If you’re an employer looking to fill a role, you can find information about reserving a table in the sponsorship prospectus.

Call for volunteers reminder

Thank you so much to all those who applied to volunteer so far! There are still a few spots available, and if you volunteer for two or more shifts we will provide you with a free conference ticket.

There is plenty to do during the conference and volunteers are essential to the success of all our events! To register as a volunteer for the conference, please read and fill out the Call for Volunteers form. The deadline to apply is 1st August, 2019. Applicants will receive additional information shortly after this date regarding shifts, detailed duties, and other updates to the volunteer duties and schedules.

Hello to our documentarians in Europe and beyond!

We’re happy to write to you with the latest news about our upcoming Prague conference, there’s lots to share and with the conference less than three months away, we hope you’re all getting excited!

Firstly, we’ve finalized our speakers for the event! Every year talk selection gets more and more difficult as we get a larger, stronger batch of submissions. Thank you so much to everyone who took the time to send us a pitch – we literally wouldn’t have an event without you!

We also have some info about ticket purchasing (now’s the time!), call for volunteers, diversity tickets reminder, and our now-traditional pop-up t-shirt shop.

Every year, we look to bring a wide range of voices to the Write the Docs stage. Because the role of “documentarian” looks so different to each of us, we aim for a line-up that spans a good mix of practical, philosophical, and technical topics – with the odd whimsical one thrown in for good measure. Call for volunteers

There is plenty to do during the conference and volunteers are essential to the success of all our events! We are looking for folks who are willing to help out during the conference. If you volunteer for two or more shifts (at an average of three hours each), you will receive a free ticket for the conference.

We are looking for folks to help out in these roles:

Venue set up - Prepping the main conference hall on Saturday (after the boat ride), including preparing the registration desk, laying out swag, arranging writing day boards, and other light physical labor
Writing day - Assisting the Writing Day coordinator, including general information inquiries, directing attendees to specific tables, helping writing day project leads with logistical questions, and other duties as assigned
Registration desk/Info - Registering people in the main conference hall and answering any questions
Speakers - Finding speakers and making sure that they’re where they need to be when it comes time to speak
Talk Timing - Keeping track of the length of the talks and warning speakers when they’re running out of time
A/V and tech support - Assisting presenters at the time of their greatest need while on stage - issues with slides, video, or audio portions of their presentation. Please apply for this role if you have some A/V knowledge; experience troubleshooting different operating systems is a plus!
Unconference - Camping out in the unconference area downstairs, keeping the place in order, updating unconference room schedule, and so on
Job Fair- Helping vendors set up their tables before the job fair, or helping with setting the room back for the unconference sessions that follow in the afternoon
Venue take down - What’s more fun than setting things up? Taking them down! Helping with taking down the conference set up and leaving the conference hall better than we found it
Prague expert - If you are a Prague local and would like to share your tips and recommendations or answer questions about places to eat, sightseeing, services, accommodation, or other events that are happening around the conference, we’d love to have you on board!
Floaters - Other duties as assigned ;) Assisting with odds and ends, requests from other volunteers and organizers, as well as answering questions; overall, being generally helpful

If you’re not sure how to do any of these tasks, don’t worry, the organizers will be available for questions and any problems you may encounter. We also have a dedicated volunteer coordinator and some volunteers from previous years will join us again, so you will have support.

To register as a volunteer for the conference, please read and fill out the Call for Volunteers form. You will receive additional information by mid-July regarding shifts, detailed duties, and other updates to the volunteer duties and schedules.

Diversity tickets reminder

If you are still considering whether to apply for our new diversity ticket program, head on over to the DiversityTickets.org Event page and check it out. This program is run in collaboration with the wonderful folks at DiversityTickets.org, a non-profit organization that shares qualifying events with various diversity organizations and helps people from underrepresented groups find events to attend.

Diversity scholarship tickets are free, and we hope to welcome more people from all walks of life to join our community. The deadline for applications is 7th July.

Conference shirts

Following the success of our pilot last year, once again we’ll be selling t-shirts separately from your conference ticket. This is due partially to the logistics of sizing, ordering, and managing stock, but also to help reduce waste from the inevitable leftovers that we find ourselves with every year.

Head over to our Write the Docs Prague 2019 Pop-Up Shop and order this year’s shirt. We have several cuts and fabrics available, and we believe that you’ll be able to find the size and style that fits you. The campaign will run until 30th September in case anyone wants to order their shirts after the conference, but if you want to sport your new threads at the conference, we recommend to order at least 2-3 weeks in advance.

Greetings, fellow documentarians in Europe and beyond! We’re happy to launch ticket sales for Write the Docs Prague 2019 and give you a quick reminder that our Call for Proposals is still open.

Tickets are on sale!

Ticket prices and descriptions are available on our Tickets page. Last year we sold out at 280 attendees, and due to venue capacity we are only able to increase our available tickets to 300, to help our attendees feel comfortable in this beautiful venue.

We believe that everyone who cares about documentation and communication has a place at our events, and we keep ticket prices low so that the event is accessible to the widest range of people possible. However, if you can’t afford these prices and still wish to attend, please email us at prague@writethedocs.org, and we can work on getting you reduced price tickets or volunteer options.

As with the previous years, we have tiered pricing to make it fair for everyone. Please buy the ticket that best fits your situation. Tickets are on sale now.

Following the success of our swag update last year, your conference ticket will include our delightful bags, which were extremely popular. We will launch print-on-demand t-shirt sales separately soon, stay tuned for updates!

We’re looking for ideas and use-cases from all disciplines and roles, so whether you’re a technical writer, developer, UX designer, community manager, or support professional who cares about content and communication, we want to hear from you!

As always, we keep ticket prices low so that it is accessible to the widest range of people possible. However, if you can’t afford these prices and still wish to attend, please email us at prague@writethedocs.org, and we can see how we can help.

We will also open a call for volunteers and organizers later, both of which are great opportunities to get involved with the community and also receive a free ticket.

Announcing Prague 2019 Conference Dates

Happy holidays, documentarians!

Today we are announcing the dates for Write the Docs Prague 2019. This year’s Prague conference will be held September 15-17, 2019, in Prague, Czech Republic. We will return to the the Auto Klub, Opletalova 29, Prague 1 right next to the train station in the Prague city center.

We expect to open both ticket sales and the Call for Proposals in March 2019. In the meantime, mark your calendars and start getting excited!
